Categories of Personal Data We Collect

The exact data we collect depends on how you interact with us. Some products operate primarily on-device, while sales, support, and download workflows require direct contact information or technical records.

Identity and contact data

  • Name, email address, country or region, company or facility name, professional role, and similar details you submit in forms or emails.
  • Sales, tester-program, licensing, and support correspondence.

Commercial and licensing data

  • Product interest, trial requests, purchase or quote history, license status, machine or hardware identifiers used for licensing where applicable, and entitlement records.
  • If we later sell through Apple, Google, or other platforms, store-provided purchase, subscription, refund, or region data needed to provide the product.

Support and diagnostics

  • Logs, crash reports, screenshots, workflow descriptions, email attachments, and troubleshooting data you choose to send us.
  • Beta and tester feedback, bug reports, feature requests, and validation notes.

Technical website and delivery data

  • Standard network and device data such as IP address, browser, operating system, timestamps, referrer, and basic server or hosting logs generated when you visit the site or download files.
  • Form submission metadata required to protect against spam or abuse.

Local product processing data

  • Video frames, audio signals, timecode, scopes, color metadata, and similar production material handled by our products are intended to be processed locally on your device or workstation unless a feature explicitly tells you otherwise.
  • We do not treat your source media as uploaded to Cyan MediaTools merely because it is opened or analyzed locally inside the software.

03

How We Use Personal Data and Our Legal Bases

We only use personal data when we have a valid legal basis and a legitimate business or operational reason to do so. The basis can vary depending on the jurisdiction and the feature involved.

Contract or pre-contract steps

Provide products and services

To deliver downloads, licenses, updates, documentation, support, purchase handling, and any service you request from us.

Legitimate interests

Operate, secure, and improve the business

To prevent abuse, protect systems, understand product issues, troubleshoot failures, maintain records, defend legal claims, and improve product quality.

Consent or legitimate interests, depending on local law

Send optional marketing or beta communications

To contact you about releases, licensing, trials, tester programs, and product updates, subject to your opt-out rights and applicable law.

Legal obligation

Meet legal obligations

To comply with tax, accounting, sanctions, export-control, consumer-protection, accessibility, or other legal requirements that apply where we operate or distribute software.

Local processing and media content

Cyan products are built for professional image and audio workflows. In normal operation, production media analyzed by our software is intended to remain on your system or facility environment.

We do not claim ownership of your media, and we do not treat on-device analysis of video, audio, scopes, or metadata as a transfer of that content to Cyan MediaTools unless you deliberately send us files, screenshots, logs, or diagnostics for support, testing, or review.

Cookies, SDKs, analytics, and tracking

The current website is primarily informational. We do not currently describe the site as using advertising cookies, data brokers, or cross-context behavioral advertising tools.

The site may still involve technically necessary hosting logs and third-party requests needed to load assets such as Google Fonts. If we later add non-essential analytics, cookies, SDKs, or similar technologies, we will update this policy and implement consent controls where required by law.

We do not use Apple's App Tracking Transparency framework or Android advertising identifiers for cross-app advertising unless that behavior is expressly introduced, clearly disclosed, and consented to where legally required.

04

How We Share Data

We do not sell personal data. We share personal data only when needed to run the business, deliver the product, comply with law, or protect our rights and users.

Hosting and infrastructure providers

Our website host, CDN or file-delivery providers may process standard server logs and technical traffic data so the site and downloads work securely.

Form and email providers

The current trial-download form uses FormSubmit to transmit form entries to our inbox, and we may store or process communications through our email providers.

Font and content-delivery providers

The site currently requests fonts from Google Fonts, which may receive technical request data such as IP address, browser information, and request metadata needed to serve font assets.

Payment, store, and commerce providers

If we process sales through resellers, payment processors, Apple, Google, or similar marketplaces, those providers will process transaction and entitlement data under their own roles and privacy terms.

Professional advisers and legal recipients

We may disclose data to advisers, auditors, insurers, regulators, or law enforcement when reasonably necessary to enforce rights, comply with law, or protect users and systems.

International data transfers

We may process or allow access to personal data in countries other than your own. When required, we use appropriate safeguards such as contractual protections, vendor due diligence, and other transfer mechanisms recognized by applicable law.

Retention

We retain personal data only as long as reasonably necessary for the purposes described here, including support history, licensing records, legal compliance, dispute resolution, and fraud prevention. Retention periods vary by data type and local law.

05

Global Privacy Rights

Your rights depend on where you live and the nature of the relationship you have with Cyan MediaTools. We will not discriminate against you for exercising applicable privacy rights.

EEA, UK, and Switzerland

You may have rights to access, correct, delete, restrict, object, withdraw consent, and receive a portable copy of certain personal data. You may also complain to your local supervisory authority.

United States

Depending on your state, you may have rights to know, access, delete, correct, and receive a copy of personal information, plus rights to appeal certain decisions and opt out of sale, sharing, or profiling where applicable. Cyan MediaTools does not sell personal information and does not share personal information for cross-context behavioral advertising.

Brazil, Canada, Australia, Japan, South Africa, and other jurisdictions

Where local law grants equivalent or stronger privacy rights, we will honor those rights and respond in the timeframes required by the applicable law in your region.

How to exercise your rights

Send privacy requests to sales@cyanmediatools.com. Please describe your request clearly and the product involved.

We may need to verify your identity before fulfilling certain requests, and we will respond within the timeframes required by applicable law. If a request is denied, you may have the right to appeal depending on your jurisdiction.

Children

Cyan MediaTools products are designed for professional and business use and are not directed to children. We do not knowingly collect personal data from children where prohibited by law.

Security

We use reasonable technical, organizational, and administrative safeguards appropriate to the nature of the data we process. No system is perfectly secure, so we cannot guarantee absolute security.

06

Apple App Store and Google Play Commitments

If Cyan MediaTools distributes a product through Apple or Google, this policy is intended to support the public privacy-policy requirement for those stores and to align with the store disclosures for the relevant product version.

  • Any Apple App Store privacy label or Google Play Data safety disclosure we publish will be intended to stay consistent with this policy and the actual behavior of the released app version.
  • If a mobile or store-distributed app requests access to photos, files, microphone, camera, notifications, or other protected permissions, we will disclose that access in-product and only request permissions reasonably needed for the feature.
  • We do not use cross-app or cross-site tracking for advertising purposes unless we clearly disclose it first and, where required, obtain valid consent such as Apple's App Tracking Transparency permission.
  • If a future Cyan product allows account creation, we will provide a way to request account and data deletion as required by applicable law and platform policy.

Changes to this policy

We may update this policy from time to time to reflect product changes, legal requirements, or store policy updates. When we do, we will update the "Last updated" date on this page and, where required, provide additional notice.
